Officer Duties:

A non-exhaustive summary of officer duties are as follows:

  • Duties of the President
    • To serve as chairman of the Executive Board
    • To preside over all meetings
    • To direct activities and projects of Upsilon Kappa
    • Vote only in the case of a tie
    • Oversee award entry preparation
  • Duties of the Vice President of Scholarship
    • Oversee all Honors Study Topic activities
    • Coordinate the chapter’s participation in the Honors Satellite Seminars
    • Encourage academic excellence
    • Coordinate the preparation of the Scholarship Hallmark Award entry
  • Duties of the Vice President of Leadership
    • Direct the chapter in the use of parliamentary procedure for meetings
    • Oversee and develop all leadership activities
    • Coordinate the preparation of the Leadership Hallmark entry
  • Duties of the Vice President of Service
    • Report the chapter to Headquarters as a Chapter of Service
    • Develop activities that promote volunteerism and community service using the International Service Program
    • Coordinate the preparation of the Service Hallmark Award entry
  • Duties of the Vice President of Fellowship
    • Encourage scholarly fellowship at all levels of the Society
    • Implement strategies to increase membership
    • Register the chapter as a participant in the Pinnacle Scholarship Award Program
    • Coordinate the chapter’s Enhanced Membership Program
  • Duties of the Vice President of Fundraising
    • To propose fundraising events to the chapter to be voted upon
    • To set up and run fundraising events that were accepted by the chapter
    • To keep track of the chapter account through the Advisor and to keep the chapter updated on the balance
  • Duties of the Vice President of Public Relations
    • Promote the chapter at all levels of the organization
    • Write and submit articles to campus and community newspapers
    • Produce issues of the chapter newsletter
    • Oversee the development and updates to the chapter website
    • Take photographs at all chapter events
    • Regularly forward chapter newsletter to the Chapter Officer Coordinator at Phi Theta Kappa Headquarters
  • Duties of the Vice President of Records
    • Take minutes at each chapter meeting and present those minutes at the following meeting
    • Keep records of all chapter activities
    • Keep current files of photos, fliers, etc.; and place all records in the official record book at the end of each academic year

Chairperson and committee positions are to help support and enhance the Vice-President office they are under.

An officer may not concurrently be a chairperson of a committee. Any member, officer or alumni may be a committee member.

Nominations:

You may nominate yourself or someone else (with their permission) at any time while nominations are open by either stating this during a meeting, bringing this to the attention of the Advisor or President or stating this by posting a message through the Yahoo Group.

Nominations will remain open for no less than one week.

All candidates are required to complete or make sure their membership information is up to date with Upsilon Kappa.

All candidates are required to complete a brief questionnaire and biography for publication to the voting membership by or on the date that nominations close. This information is to be submitted to the Vice-President or Chairperson of Public Relations.

Voting:

Voting will not open less than one week from the time that nominations close. This week is to allow the membership to review the results of the questionnaire and biographical information before choosing a candidate to vote for.

Voting will be open online through the Yahoo Group one week before the Member Meeting where the in-person votes and online votes will be tallied.

Post Election:

Incoming officers will be trained by the officer leaving the position (if possible).

Officers are expected to attend, to the best of their abilities, all officer and member meetings as well as all events that the chapter organizes.

If an officer cannot fulfill their duties or is routinely absent, they will be asked to resign.
